Basic Requirements

COVERING LETTER

Covering Letter from applicant on business letter head stating his name, designation, purpose and duration of visit duly signed by authorized signatory and addressed to the Embassy.

Proof of Occupation
Self –Employed
a) Company Registration Certificate / Certificate of Incorporation
b) Articles of Memorandum (Incase the applicant is MD/Director)
c) Proof of Proprietorship / Partnership (In case applicant is Proprietor / Partner in a firm)
d) Import / Export License (if applicable)

 Employed
a) Proof of employment like Salary Slip or Appointment Letter and NOC from Employer
 

Student
a) Leave Sanction Letter from school and School ID copy.
b) Parents have to provide ITR, Bank statement and NOC letter.

If applicant is a minor or travelling with anyone:
a) Birth Certificate (original and A4 sized copy)
b) Letter of School confirming current school admission and sanctioned leave of absence (original, no copy)
c) Consent Letter from both parents regarding child’s travel (original, no copy)
d) A4 sized copy of Parents’ Passports
 

Proof of Accommodation: Hotel confirmation

Airline Reservation: Ticket Itinerary

Travel Insurance: Overseas Medical Insurance for the stay duration amounting to 30,000 Euros to be submitted in original along with the photocopy

Letters addressed to the Embassy/Consulate

Letters addressed to the Embassy, for example : Request letter, Covering Letter or Invitation Letter etc.

Proof of Occupation

Proof of Occupation in the resident country is to be provided, for example : 
Self –Employed

•   Company Registration Certificate / Certificate of Incorporation

Documents Required for Germany Sticker Visa:

• Schengen Visa Application Form completely filled out and signed
• Print and submit all pages of the application form, including the barcodes.
• Declarations:
• Sign two declarations of True and Complete Information.
• Sign a declaration of travel with valid medical insurance.
• Passport:
• Valid passport issued within the last 10 years.
• Must have at least 3 months' validity beyond the scheduled return.
• Should have at least two empty pages for visa affixation.
• No observations on the front data page.
• Passport Copy
• Provide a copy of the biometric and address page of the passport.
• Photograph:
• Include a recent biometric passport picture (35x45mm).
• Must have a white background with 70%-80% face coverage.
• Not older than six months.
• Cover Letter with signature 
• Clearly state the purpose and duration of your travel.
• Travel Itinerary
• Provide proof of intended means of transport and itinerary.
• Include a certificate from the travel agency confirming the booking of an organised trip or any other detailed travel itinerary.
• Proof of Accommodation:
• Include proof of hotel reservations, rental of a holiday home, or campus residence reservation.
• If staying with a family member or friend, provide proof of sponsorship, a confirmation from the third person with signature, proof of address, and a copy of their passport or German ID card.
• If travelling to multiple Member States, show proof of accommodation in each.
• Proof of Civil Status
• Submit the relevant documents based on your civil status (marriage certificate, divorce decree, birth certificates of children, or death certificate of spouse).
• Flight Reservation:
• Include a flight reservation for your trip.
• Travel Medical Insurance
• The insurance should cover the entire duration of your Schengen trip with a minimum medical expenses coverage of EUR 30,000.
• Ensure it's from approved Indian travel insurance companies as per German Missions' guidelines.
• Supporting Documents for Germany Tourist Sticker Visa
• If your trip is Sponsored:
• If sponsored by an Indian resident - submit a sponsor letter, the sponsor's passport copy, and their bank statements for the last 3 months.
• If you are sponsored by a German/EU resident - Sponsor letter with a passport copy of the sponsor and copy of the German residence permit (if sponsor is residing in Germany and not a German Citizen) and If provided: Verpflichtungserklärung (formal obligation letter) of your sponsor.
• If the sponsor is your spouse - include a marriage certificate.
• If the sponsor is your parent - provide a birth certificate.
• If you are sponsored by a company in India - Acknowledgement of the company's ITR Returns for the last three years (latest first, for example, 2022-2020)
• If you are sponsored by a company in Germany - Sponsor letter with a passport copy of the sponsor and copy of the German residence permit (if sponsor is residing in Germany and not a German Citizen).
• If Employed:
• Pay slips
• Employment contract 
• Employer's statement (leave sanction letter).
• Include your bank statements for the last 3 months, Indian income tax return (ITR) acknowledgment, or Form 16.
• If Self-Employed or a Company owner:
• Certificate of registration of the company
• Goods and services tax (GST) registration number for companies based in India
• Indian income tax return (ITR) acknowledgment for the last two assessment years or Form 16.
• Applicant’s bank statements for the last 3 months stamped by the bank.
• If Retired:
• Pension statements for the last three months and/or proof of regular income generated by ownership of property or business 
• Applicant’s bank statements for the last 3 months stamped by the bank
• If a Student:
• Certificates of the establishment at which you are enrolled and no objection certificate from School / University and for university students
• Applicant’s bank statements for the last 3 months stamped by the bank
• If Unemployed:
• Applicant’s bank statements for the last 3 months stamped by the bank
• Supporting Documents for Germany Business Sticker Visa
• Federal Employment Agency Approval (for international staff exchange or work contracts)
• If you intend to work in Germany while on your Schengen Visa, please confirm with the inviting company whether you need approval from the Federal Employment Agency (Federal Agency for Labor) beforehand. 
• The hosting company or institution should obtain this approval directly from the Federal Employment Agency and provide it when you submit your visa application.
• Covering Letter from the Indian Company
• Submit an original signed covering letter on the company's letterhead from the Indian company.
• Include the following details - Traveler's name, passport number, purpose of the trip, duration of stay, brief itinerary of the visit.
• Company Details
• Provide the Certificate of Incorporation of the Indian Company.
• Include the GST Registration document.
• Offer proof of Company Registration.
• Invitation Letter from the Business Partner
• Obtain an invitation letter from the business partner in German or English.
• The letter should specify the Planned activities during the visit and Details of the business relationship between the inviting and sending companies (e.g., same group, supplier relationships, specific trade details).
• For Consultancy Services - Confirmation letter from the German client and If the inviting company is arranging accommodation, confirm this in the invitation letter.
• Detailed Business Meeting Schedule(for stays over 30 days)
• Provide a detailed schedule of your business meetings if your stay exceeds 30 days.
• If you have Additional Appointments in the Schengen Area
• If you have further appointments in the Schengen area, submit a signed invitation letter from the Schengen business partner on their company letterhead.
• This letter should mention the purpose of travel, itinerary, and personal data of the applicant.
